How to reduce no-shows on sales calls: a show-rate system for coaches

You reduce no-shows by making the call feel real before it happens: a confirmation the moment they book, a reminder the day before, a reminder an hour before, and a fast rebook path when life gets in the way. Done by hand, this slips. Done by a system, it runs every time, in your voice.

A no-show is the most expensive empty half hour in a coaching business. You paid to get the lead, you did the DM, they booked, and then nothing. Twelve of those a month is a week of your calendar and a month of your ad spend.

Most coaches treat it as bad luck. It is not luck. It is the gap between booking and showing, and that gap can be built for.

What a normal no-show rate looks like

Show-up rates on calls booked from cold traffic can drop as low as 50%, according to practitioner data from Paperbell. Calls with paying clients should run near 90%. If your sales calls are closer to the first number than the second, the fix below is where I would start.

Measure it before you fix it. Count booked calls and showed calls for the last four weeks. That is your show rate, and you will want to see it move.

Why people miss, and why it is rarely rudeness

They booked at 11pm on their phone, half asleep, and by morning it felt less urgent. Nothing arrived between the booking and the call to make it feel real. Doubt crept in and nobody answered it. The reminder came from a calendar tool with no name on it. Or it simply clashed with a school run and there was no easy way to move it.

None of that is about you. All of it is about the silence between booking and showing. If an AI sales agent booked the call, the same system should own the reminders.

The reminder sequence that lifts show rate

  • Instant confirmation, in your voice, with one line about why the call is worth their hour.
  • The day before, a reminder with a single question to answer before the call. Answering makes them invested.
  • An hour before, a short note with the link and nothing else.
  • Five minutes after the start time, if they are not there, a friendly nudge with the link again. This alone saves a surprising number of calls.
  • If they miss it, a same-day message with a two-click rebook link. No guilt, no lecture.
  • Every message is written from your own words and sent by text and email, not from a faceless calendar tool.

What a good appointment reminder text says

Short, human, with one line of value and the link. Something like: Hey Sam, Milos here. We are on tomorrow at 2pm. One question before we talk: what would make this call worth your hour? Here is the link. That is the whole message. No emoji pile, no countdown, no threat of a cancellation fee.

Rebooking the ones who miss

A missed call is not a lost lead. It is a lead with a scheduling problem. The same-day rebook message catches most of them while the intent is still warm. The ones who do not rebook go into a light follow-up, the same timed sequence a lead follow-up system runs, a week later and a month later, and then rest. The system tracks all of it so you never have to remember who missed when.

How many reminders is too many?

Four touches before the call and one after is the most I send: confirmation, day before, hour before, five-minutes-late nudge, and the rebook. Each one is short and says something new. More than that starts to feel like chasing.

Can I stop chasing people who keep missing?

Yes. After a second miss the system asks once whether they still want the call, and if there is no answer it goes quiet. Your calendar should not be a waiting room.

Does this work with my booking tool?
